About us and these conditions
BookHotelRates is a trading brand of The Tim Potter Travel Co. Ltd, a limited company registered in England & Wales, registered no 13260550, VAT No GB 415957277. Registered Address: 41 Sandy Park Road, Bristol BS4 3PH.
These conditions explain how to use BookHotelRates and book travel through us. https://bookhotelrates.com offers travel information, enquiries and booking services. “We”, “us” and “our” mean The Tim Potter Travel Co. Ltd; “you” includes the lead booker and anyone travelling under the booking.
Read these conditions together with the description, fare or rate rules, supplier conditions and information supplied before you book. Keep a copy of those documents and your confirmation. The conditions accepted when you book apply to that booking; later website updates do not retrospectively change it. Nothing here removes rights that cannot lawfully be excluded.
Our role and your travel contract
The supplier, contracting party and our role depend on the arrangements you choose. We may act as an agent arranging a supplier’s services or, where identified in the booking documents, as the organiser of a package. Your pre-booking information and confirmation should identify who provides your travel and who is responsible for it. Ask us before paying if this is unclear.
Where we act as agent, the relevant supplier’s booking conditions also apply to the travel service. Where we are the package organiser, our statutory obligations as organiser apply. Booking multiple services does not by itself settle their legal classification: the way they are offered and purchased determines whether package or linked travel arrangement rules apply.
Making a booking
The lead booker must be at least 18, have authority to act for everyone named, and pass these conditions and all travel information to the party. Provide complete, accurate names matching travel documents, dates of birth, contact details and travel requirements. Keep account credentials private and tell us promptly about suspected unauthorised use.
Check the destination, dates, passenger details, room occupancy and selected services before submitting. A request acknowledgement or payment attempt is not, by itself, confirmation that a reservation or ticket has been issued. Acceptance and the point at which a binding contract is formed are set out in the applicable booking information and written confirmation. Contact us if you have paid but have not received the expected confirmation.
Check confirmations as soon as you receive them and report mistakes immediately. Corrections may depend on supplier permission and the disclosed fare or rate conditions.
Prices, currency and what is included
Prices and availability can change before a booking is accepted. Check whether a displayed price is per person, per room, per night, per day or for the whole stay, and confirm the total, currency and included services before paying. Optional extras, baggage, meals, resort or city taxes, deposits and charges payable locally should be checked in the offer and supplier information.
A currency selected for browsing may be an indicative conversion. The payment information and confirmation identify the charge currency; your bank or card provider may apply its own exchange rate and fees. If we identify a pricing error, we will explain it and the available options before proceeding, subject to your existing contractual and statutory rights. We will not treat silence as acceptance of a higher price.
Payments and balances
The deposit, balance, due dates and payment arrangements are those disclosed for your booking. Do not assume that a deposit secures travel until acceptance has been confirmed. Failure to pay a balance by the agreed deadline may lead to cancellation under the applicable conditions; contact us promptly if you anticipate difficulty.
Any service or administration charge must be disclosed before you agree to it. These conditions do not introduce a fixed cancellation or amendment fee. We will explain any proposed additional payment and its basis. Post-booking price changes are permitted only where the contract and applicable law allow them, with the required notice and rights.
Flights, baggage and ticketing
Check the airline, airports, routing, connections, cabin, baggage allowance and ticket restrictions. Airline baggage, seating, check-in and name-change rules vary by fare. Extras are included only where stated. A booking reference does not necessarily mean an airline ticket has been issued; check your ticketing information and contact us if anything is missing.
Reconfirm current schedules and follow the carrier’s check-in and boarding deadlines. Missed departures or unused flight sectors can affect the rest of an itinerary under the airline’s rules. Tell us and the carrier as soon as travel plans change. Applicable passenger rights, including rights following qualifying delays, cancellations or denied boarding, remain available.
Hotels and accommodation
Check the room type, bed arrangements, board basis, occupancy, children’s ages, check-in and check-out times, accessibility and cancellation deadline. Ratings reflect the source stated and may differ between countries. Photographs and descriptions should be read with the specific room and rate booked.
Local taxes, security deposits and services payable at the property are governed by the disclosed rate and property conditions. A special request is not guaranteed unless expressly confirmed. Inform us of essential requirements before booking so suitability can be checked.
Car hire, rail and activities
For car hire, check driver age, licence and identification requirements, the deposit and accepted payment card, fuel policy, mileage, insurance cover, excess and collection rules. The rental provider may refuse collection if its disclosed requirements are not met.
Rail tickets and activities may be restricted to a named passenger, departure, route, time slot or entry date. Check collection instructions, validity, included services and the operator’s change and refund conditions. Tell us about accessibility or assistance requirements before purchase.
Changes, cancellations and no-shows
Contact us using support@bookhotelrates.com to request a change or cancellation of a booking made through us. Provide the booking reference and the lead booker’s details. A request is effective in accordance with the applicable booking procedure, rather than simply because you stop travelling or stop making payments. Ask for written confirmation.
Amendments, transfers, cancellations, early departures and no-shows are subject to the supplier and fare or rate conditions disclosed before booking. Some arrangements are non-refundable or non-changeable. We will explain the applicable supplier charges and any separately disclosed service charge before processing an optional change.
A cancellation deadline may use the property’s or supplier’s local time. Check the precise time zone. Statutory cancellation rights for qualifying travel arrangements take precedence over any conflicting rate restriction.
Supplier changes, disruption and refunds
Suppliers may change schedules or services. We will pass on material information we receive and explain the options available under your contract and the law. Where you are entitled to a replacement, price reduction, compensation or refund, these conditions do not remove that entitlement.
Refund eligibility and calculation depend on the booking conditions, the reason for cancellation and applicable law. We will identify the relevant process and keep you informed. No blanket waiting period is imposed by these conditions; statutory refund deadlines apply where required, including for qualifying package cancellations. A supplier delay does not override an organiser’s own legal obligations.
Events outside reasonable control may affect travel. Their consequences are assessed under the applicable contract and law, including any rights relating to unavoidable and extraordinary circumstances. There is no general exclusion of all responsibility for disrupted travel.
Package holidays and linked arrangements
If your purchase is a package under the Package Travel and Linked Travel Arrangements Regulations 2018, the organiser’s responsibilities and your statutory rights apply. These may include required pre-contract information, responsibility for performance, assistance, appropriate insolvency protection and rights if significant changes or qualifying cancellations occur.
The booking documents identify the organiser and applicable protection. Where only a linked travel arrangement is created, its protection is more limited and the relevant information should be provided before you commit. Separate supplier contracts and affiliate referrals must not be assumed to carry the same protection as a package.
ATOL financial protection
Our ATOL number is 12749.
All the flights and flight-inclusive holidays on this website are financially protected by the ATOL scheme. When you pay you will be supplied with an ATOL Certificate. Please ask for it and check to ensure that everything you booked (flights, hotels and other services) is listed on it. Please see our booking conditions for further information or for more information about financial protection and the ATOL Certificate go to: www.caa.co.uk
The ATOL Certificate identifies the protected arrangements and the protection provider. Accommodation-only bookings and independent bookings made with another provider are not automatically ATOL protected. If a certificate or protection detail appears incorrect, contact us promptly.
ABTA membership and assistance
ABTA membership number: P8597.
The Tim Potter Travel Co. Ltd is a member of ABTA. When you book with an ABTA Member you can expect high service standards, fair terms of trading, and accurate information. ABTA’s strict joining criteria for Members, code of conduct, customer helpline, and complaints resolution scheme are all there to give you confidence and peace of mind when booking your travel arrangements. For more information contact ABTA, 30 Park Street, London SE1 9EQ, Tel 020 3117 0500
If a complaint remains unresolved, information about ABTA’s assistance and any applicable dispute resolution arrangements is available through ABTA’s help and complaints service. Eligibility and the scheme’s rules apply.
Partner websites and affiliate bookings
Some hotel results and links are supplied through Stay22 or other external booking providers. If a link takes you to another website to reserve or pay, the booking is made with the provider identified there, under its terms, privacy policy, payment process and protection arrangements. We may receive an affiliate commission.
Our own submitted offers are displayed separately from partner results. A partner result does not become a booking with The Tim Potter Travel Co. Ltd merely because it appears on BookHotelRates. Check who you are contracting with, the final price, cancellation terms and financial protection before booking. Direct changes or refund requests to that provider unless your confirmation says otherwise.
Travel documents, health and special requirements
Check current passport, visa, transit, entry, vaccination and health requirements for every traveller and every country on your itinerary. Requirements depend on nationality and personal circumstances and can change. Obtain current advice from the relevant authorities and FCDO travel advice. We will provide information required of us by law; travellers remain responsible for obtaining the documents they need.
Tell us before booking about reduced mobility, disabilities, allergies or other essential needs. We will use the information to check arrangements with the supplier, but a request is only guaranteed when confirmed. Consider suitable travel insurance covering your circumstances, activities, cancellations and medical needs. Insurance is included only where expressly stated.
Assistance and complaints
If something goes wrong while travelling, tell the supplier or local representative promptly so they have a chance to resolve it, and contact us where assistance is needed. For a complaint about a booking made through us, use support@bookhotelrates.com or write to The Tim Potter Travel Co. Ltd, 41 Sandy Park Road, Bristol BS4 3PH. Include your reference, dates, what happened and the outcome you seek, without sending full payment card details.
We will review the complaint and explain the next steps. Any applicable ABTA process and your right to pursue legal remedies remain available. Your statutory rights are not lost simply because an issue could not be reported immediately.
Responsibility and your legal rights
Our responsibility follows the role we take in your booking and applicable law. Where we arrange a service as agent, the supplier is responsible for providing that service, while we remain responsible for our own duties. Where we are the package organiser, we remain responsible for the organiser’s legal obligations.
Nothing in these conditions excludes liability for fraud, death or personal injury caused by negligence, or any other liability that cannot lawfully be excluded. Mandatory consumer rights and any applicable international transport conventions continue to apply. We do not promise that all website information or external services will always be uninterrupted or error-free.
Website use, privacy and governing law
Use this site lawfully, make genuine enquiries and respect intellectual property rights. Do not submit fraudulent bookings, misuse another person’s information, interfere with site security or disrupt the service. See our privacy policy for how personal information is handled and our anti-bribery policy for our business standards.
These conditions are governed by the law of England and Wales, subject to any mandatory consumer protections that apply where you live. The courts of England and Wales have jurisdiction, without removing any right a consumer has to bring proceedings in the courts of their home jurisdiction. Contact support@bookhotelrates.com if you need clarification before booking.
